THE ROLE

XTX are seeking a highly organized and customer-focused receptionist to join our team. As the first point of contact for our office, you will be responsible for providing exceptional hospitality to all guests and ensuring the smooth operation of reception and office management duties. The ideal candidate should possess excellent communication skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

This role has opened as a result of an internal transfer. Accordingly, we intend for this role to commence in February 2025 and are unable to accommodate a sooner start date.

RESPONSIBILITIES

  • Reception: Warmly welcome all guests, creating a positive and professional impression. Manage a busy phone system, handling incoming calls and identifying relevant calls. Arrange couriers and provide regular updates to consignees. Distribute office post to the appropriate teams. Liaise with onsite contractors, enforcing office procedures, and maintaining the front of house area. Conduct office tours and provide gym inductions to new starters.
  • Meeting Room Management: Oversee the efficient scheduling and operation of all meeting rooms.
  • Clinic Management: Organize logistics and appointments for various clinics, such as GP Clinics and Massage Clinics.
  • Office Management Support: Provide cover for annual leave, including facilities maintenance, health and safety responsibilities, and overall office operations. Book First Aid and Fire Marshal courses for staff when necessary. Coordinate with contractors and arrange permits as needed. Serve as a communication link between staff and building management for complaints and requests.

ESSENTIAL ATTRIBUTES

  • Previous experience in a receptionist or front desk role is preferred.
  • Excellent interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in handling tasks.
  • Ability to remain calm and professional in a fast-paced environment.
  • Proficiency in Microsoft Office Suite.
